Terms and Conditions

Our standard terms of business. They apply to every client, together with the electronic engagement letter you accept before we start work.

Last updated: 2 October 2026Fixed Fee Accountant

About these terms

Fixed Fee Accountant is a trading name of Financials Direct Ltd, a company registered in England and Wales (company number 07496275). Registered office: Landmark, 3 Brindley Place, Birmingham.

These terms apply to all services we provide. Your electronic engagement letter confirms your services and fee. If anything in your engagement letter conflicts with these terms, the engagement letter takes priority. You can read a engagement letter (reference copy) before you start.

Starting work

Before we act for you, we confirm your services and fee in a written quote and complete identity and anti-money laundering checks. We then send you an electronic engagement letter to accept online. Our contract starts when you accept it.

Our services

We provide the services set out in your engagement letter with reasonable care and skill, in line with the professional standards of the bodies our accountants belong to. Services that aren't included are outside the scope of the engagement. If you ask us to do them, we'll agree the price with you in writing first.

Your responsibilities

  • Keep complete and accurate records and give us the information we ask for in good time
  • Send us your records at least 60 days before a filing deadline
  • Check every return and set of accounts before you approve them, as you remain legally responsible for them
  • Tell us promptly about changes that may affect your tax, such as new income, registering for VAT or taking on staff

Fees and payment

Your fee is confirmed in your quote and engagement letter. Fees exclude VAT, which is added at the current rate. Monthly fees are paid in advance by Direct Debit. One-off work is paid when you order it.

Official fees charged by Companies House, HMRC or other bodies are passed on at cost with no mark-up. If a payment isn't made, we may pause work after telling you, and business clients may be charged interest on late payments under the Late Payment of Commercial Debts (Interest) Act 1998.

Price reviews

Your monthly fee is fixed for 12 months, then reviewed once a year. We'll give you at least 30 days' notice of any change. Any increase at a review is capped at 10% unless your business has changed in a way that increases the work. If your circumstances change during the year, we'll confirm any new fee in writing before it applies. If you don't accept a change, you can leave without penalty before it takes effect.

Ending our engagement

There's no minimum term. Either of us can end the engagement with 30 days' written notice, including by email. Fees are payable to the end of the notice period. We'll help your new accountant with the information they reasonably need.

Your right to cancel

If you're an individual contracting with us online for personal purposes, you can cancel within 14 days of the contract starting without giving a reason. If you ask us to start work during that period, you'll pay for work done up to the point you cancel.

Anti-money laundering

We must verify the identity of our clients and report any knowledge or suspicion of money laundering to the authorities. We may not be able to tell you if we have made a report.

Confidentiality and data protection

We keep your information confidential, except where the law or our professional rules require disclosure, or where you ask us to share it. Our privacy policy explains how we use personal information.

Limitation of liability

Our liability for any loss arising from our services is limited to the lower of £500,000 and ten times the fees you paid in the 12 months before the claim. We aren't liable for loss caused by incomplete or inaccurate information you provide. Nothing limits liability that can't be limited by law, including for death or personal injury caused by negligence, or for fraud.

Complaints

If you're unhappy with our service, contact us on 020 3369 0738 or at info@fixedfeeaccountant.com. We'll acknowledge your complaint promptly and aim to resolve it within 30 days. If you're still not satisfied, you can refer the matter to the professional body of the accountant responsible for your work. Details are available on request.

Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. We may update these terms and will give clients at least 30 days' notice of any change that affects them.
